Manage Agency Fee Agreements Inside Flo

If you work with outside agencies to source candidates, you already know how much time gets lost tracking down fee agreements stored in binders, email threads, and folders on someone's desktop. Flo is the fastest shipping company in the legal talent industry, and this release is a good example of why: we heard a clear problem from recruiting teams, and we built a direct solution for it.

 

The problem

Recruiting and talent operations teams told us that managing agency fee agreements was a genuinely painful part of their workflow. The agreements themselves lived outside the platform, which meant that every time a question came up about a fee percentage, an expiration date, or which agreement applied to a specific hire, someone had to stop what they were doing and go hunting.

That gap created real risk. Without a centralized view, it was easy to act on an expired agreement or miss a fee detail that mattered at offer time. You told us this was slowing you down, and we took that seriously.

What we shipped

Admins can now upload and manage fee agreements directly inside Flo, attached to the agency they belong to. Here is what the feature includes:

  • A redesigned agency table with sortable, filterable columns covering agency name, status, agreement type, start and end dates, fee percentage, country, and specialty area. You can control which columns you see, export the table, and expand rows to view multiple agreements nested under a single agency.
  • An updated agency detail page with two tabs: Contacts and Fee Agreements. The Contacts tab shows contact details and lets you add notes from a slide-out panel. The Fee Agreements tab houses all uploaded documents for that agency, with an automatic "Expired" tag applied when a start and end date are both provided and the agreement has lapsed.
  • A simple upload flow where you browse or drag and drop a file, give it a name and an effective date, and optionally add an end date, agreement type, fee percentage, country, applicable practice areas, and notes. Once saved, the agreement is immediately accessible and editable from the table.
  • Fee agreement visibility on the candidate slide-out. When a candidate is submitted by an agency, the admin can see right there whether a fee agreement exists. If there is one active agreement, the name appears as a link. If there are multiple, a "View All" link opens the full list in a new tab. If nothing has been uploaded, the field is blank so you know to follow up.

Why it matters

The practical impact is that recruiting teams no longer need to leave the platform to answer basic questions about their agency relationships. When a candidate comes in through an agency, the fee agreement is right there. When a deal closes, the terms are already on file. When an agreement expires, it is flagged automatically so nothing slips through.
