Admins Can Now Edit a User's Email Address Directly in Flo

This is the kind of update that is easy to overlook until the moment you need it, and then it matters a lot. Flo releases featurs continuously, and we are glad to get this one out: admins can now edit an individual user's email address directly inside Flo Performance Management and Flo Applicant Tracking, without needing to contact anyone for help.

The challenge

A user's email address controls how they log in and where their notifications are sent. When an address was entered incorrectly or needed to be updated, admins had no way to correct it themselves in Flo. The fix required going through the Flo support team, which introduced a wait and created an unnecessary dependency for something admins should be able to handle on their own.

What we launched

The Email field on individual user records is now editable. Open any user's record from the User List and update the email address as you would any other field. The new address is validated for proper format and checked for uniqueness within the organization. If the address is already associated with another user, the change is rejected with an error message.

Email changes cascade across all linked records automatically, including duplicate "university contact" records created when an employer interviewer has attended a law school's events.

A few important details for admins:

  • For organizations using SSO login tied to email address, update the address in your identity provider at the same time. If Flo's email and the identity provider no longer match, the user's next SSO login will fail.
  • Items that captured the old email at the time they were created, such as calendar invites already sent, past notifications, and previously exported CSVs, are point-in-time records and will still show the old address. New communications will use the updated address.
  • This release covers editing a single user's email from the User List. Bulk email changes via CSV import will be available in a future release.

Why it matters

Giving admins direct control over email corrections keeps user records accurate without creating a support dependency for a routine task. For Professional Development and HR teams managing large rosters, especially around onboarding or attorney transitions, having this in admin hands is a practical efficiency gain.

Straightforward admin control over user data is something we think should be a given, and now it is. If there are other fields or record types where you would like more direct edit access, let us know what is on your list.
