One-Off Custom Emails in Interview Management: More Flexibility, Smarter Feedback, Better Branding

When career services teams ask for more control over how they communicate during interview season, the right response is to build it fast and build it well. That is what Flo does. As the fastest shipping company in the legal talent industry, we do not sit on feedback. When several clients came to us with specific gaps in the One-Off Custom Email tool, we went back to work and shipped this next round of improvements quickly.

The problem

Several clients raised a consistent set of frustrations with the original One-Off Custom Email capability in Interview Management. The core issue: the tool only let you reach contacts already associated with the event. That left out external stakeholders, additional employer contacts, and internal distribution lists that recruiting teams routinely need to loop in.

On top of that, the system feedback was sparse. There was no clear signal when an email address was formatted incorrectly, no de-duplication when the same address appeared more than once, and the confirmation step before sending did not give coordinators enough confidence that everything was right before they hit send.

The emails themselves also felt generic. They did not carry the school's branding, which matters when the message is going to employers or external partners who associate the communication with the institution.

What we shipped

We shipped three concrete improvements:

  • Custom email addresses across all fields. Coordinators can now manually enter any email address in the To, CC, BCC, and Reply-To fields. This means you are no longer limited to event-associated contacts. You can reach anyone who needs to be included.
  • Smarter confirmation and error handling. The system now validates email formats before sending, automatically removes duplicate addresses so they do not appear twice, shows clear messaging when there is a delivery error, and gives you a more informative confirmation step before the email goes out.
  • Refreshed, branded email template. Outgoing emails now include your school or organization's logo and updated Flo styling, so what recipients see in their inbox looks polished and professional.

Why it matters

Recruiting coordinators are managing a lot of moving pieces during interview season. Every extra step spent troubleshooting a tool, re-entering addresses, or second-guessing whether an email actually went to the right people is friction that compounds over the course of a program.

These updates close the gaps that clients identified. You can now reach anyone you need to reach, the system catches mistakes before they become problems, and the emails you send reflect the quality and professionalism of your office. That is the standard this tool should have met from the start, and it does now.

This functionality is currently live in Interview Management, and we plan to extend it to other parts of the platform from here.
